Meeting Services

Our reputation depends on the success of your event!

The Yolo County Visitors Bureau (YCVB) is built upon the belief that Davis, Winters and Woodland are great places for academic or professional conferences and meetings. Yolo County offers small town hospitality and individualized services. The YCVB staff will make every effort to ensure that your function proceeds efficiently and professionally.

Centrally located in Northern California, Yolo County is easy to reach by car via Interstates 80 and 5; by plane via nearby Sacramento International Airport; and by train via the rails of Amtrak.

You’ll find meeting facilities of all kinds: consider the brand-new state-of-the-art conference center on the UC Davis campus and the spacious auditorium of the Veterans Memorial Center, or get out of town to intimate settings such as the Farm on Putah Creek or the Taber Ranch Event Center.  Wherever you base your meeting, you’ll find great restaurants, shopping, performing arts, galleries, wineries, and historical venues – all combining to create an exceptional experience.

The YCVB will be happy to assist you every step of the way, with our keen knowledge of the area, our extensive contacts with all the venues you may want to use, and our diligent follow through. All of our current services are free of charge; however, we would be willing to negotiate additional services based on room nights booked. In the end, we want you to think of us an indispensable resource for your planning purposes.

FAM (Familiarization) Tours

The YCVB is offering a new FAM Tour this coming March 2012. We are planning a day-and-a-half excursion to visit hotels and meeting facilities in Davis and Woodland and on the UC Davis campus. You’ll enjoy excellent meals prepared by local restaurants, entertainment, prizes, and overnight accommodations, all sponsored by our partnering organizations. For more information, please call us at (530) 297-1900.

Request for Proposals

The YCVB will be happy to send out your request to our hotels, facilities, and caterers. In some cases, the YCVB will negotiate room blocks and deliver you a final list of contacts with what they offer. We follow up on all RFPs sent out and handle any problems if they arise. To submit your RFP online, click here.

Delegate Packets

The YCVB offers colorful visitor brochures for your delegate information packets. Your attendees will have a more enjoyable stay with information readily available about restaurants, attractions, and events. An array of activity options during meeting downtime reflects positively on overall conference experience, resulting in better attendance at your next event. Please request items at least two weeks in advance.

Tours and Entertainment

The YCVB has a complete list of area attractions and entertainment. We would be glad to assist in planning tours and entertainment options for spouses, guests, or your entire group. Themed tour ideas are available and can be individualized to meet your group’s needs.

Advance Publicity

If needed, we will send your press releases to local news media to publicize your event, when you submit information about your convention to us within a timely period. The YCVB is also capable of sheltering your event from the media if you prefer to keep a low profile.

Planning Assistance

We will work closely with your planning committee to provide any assistance needed. We can help coordinating all meeting functions held at any of our facilities or hotels, as well as obtaining in City or County dignitaries to officially welcome your event to our cities at your opening ceremony/banquet. We will serve in an advisory capacity for planning the many details of your next event.

Please feel free to call us at (530) 297-1900 or email info@ycvb.org — we’re here to do whatever we can to make your event a success.
